User administration

The user administration offers the possibility to invite new users and to define the Authorization level (read, edit, administrate) of the users. The user administration also provides an overview of all outstanding invitations as well as a list of all users with the respective authorization level.

Invite user

Invite a new user to EasyMap Xplorer by e-mail. You can also enter multiple email addresses in the corresponding input field at the same time; these should be separated by a semicolon.

Next, assign Permission (read, edit, administrate) to the user(s). You can immediately add users to a Group by selecting an existing group. This saves you having to add users later in the Group Management. Optionally, you can write a message.

The invited person(s) will receive an e-mail with a link to the EasyMap Xplorer registration. Under Pending invitations you can get an overview of who has not yet accepted the invitation. If the invitation is not accepted by the user within 14 days, an invitation must be sent again.

Edit user

  • By clicking on Edit user (pencil icon) you can change the permissions of the users. The next time the user logs in, the changes you have made will take effect.
  • By setting the check mark (instead of the X symbol), the permission is activated until the browser is closed and the session is terminated. This function is useful if editing by the authorized user is not possible. Example: A workbook was uploaded to the EasyMap Xplorer for viewing by a user group. However, only one user in the company is authorized to edit. If the user with editing rights is absent, the administrator can change the rights so that other users can edit or upload.
  • You can export the table with the listed users. Click on Export all users and you will receive a CSV file that can be opened with Excel, among other things. In the table you will find the user name and the respective user ID.

  • Under Settings the administrator can assign himself the permission to edit for all uploaded workbooks.

Windows authentication

If you use Windows authentication (NTLM, Kerberos), the user administration provides you with an overview of all users with the respective authorization level. The administrator of the IT department in the Active Directory is responsible for assigning user rights (read, edit, administrate). Users that have been deactivated by IT in the Active Directory are highlighted in gray in the list. The Active Directory and EasyMap Xplorer accounts can be synchronized by clicking the "Update Windows Accounts" button.
